Getting started - How synchronization works and management

In this article, we explain how synchronization works on Waltio.

📝 Description

How does synchronization work with your wallets and APIs? Once the connection is created, all your transactions since account creation on the platform will be read. Then, periodically, synchronization automatically retrieves your new transactions.

📂 Automatic Synchronization

An API or a wallet is automatically synchronized by Waltio. New transactions are retrieved without needing to restart the import every time.

All transactions are automatically updated every 7 days if you log in to Waltio, and every 3 months if you do not log in.

⚠️ Transactions that took place on the exact day of synchronization do not yet have a value in fiat currency. The value will be automatically updated in the next tax report.

➕ Manual Synchronization

For our Smart and Unlimited clients, you can launch a manual synchronization when you want to quickly verify that a recent transaction has been retrieved. Manual synchronization mainly retrieves transactions added since the last synchronization.

From the Accounts page:

  1. Open the relevant API or wallet account.

  2. Click Sync.

  3. Wait for processing to complete.

  4. Check the date of the last synchronization and the newly imported transactions.

💡 Plan limits:

  • Smart Plan: 1 synchronization per month per API (counter reset every 30 days)

  • Unlimited Plan: 3 synchronizations per day per API (counter reset every 24 hours)

⚠️ Attention: The Free, Lite, and Starter plans do not have access to manual synchronization.

📤 Pausing a Synchronization

Pausing allows you to temporarily stop retrieving new transactions from an API. Use this option if you wish to:

  • temporarily suspend synchronization;

  • prevent Waltio from querying a platform;

  • keep the connection and previously imported history without deleting the account.

Pausing does not delete transactions already present in Waltio. You can reactivate synchronization whenever you want.

📂 Archiving an API

The Archive function is suitable when you no longer use an exchange account or when the account has been closed. Archiving allows you to:

  • stop synchronization attempts;

  • keep the transaction history already imported;

  • prevent a closed or unused account from remaining in error status in your workspace.

For example, if you closed your account on a platform, archive the corresponding API rather than deleting it.

From the Accounts page:

  1. Open the relevant exchange account.

  2. Click the three dots and then click Archive.

  3. There will be no further synchronization attempts on this account.

⚠️ The Archive function is irreversible, so use it with caution.

⚠️ Caution Before Deleting an API

Do not delete an API simply because it has an error, is inactive, or because you no longer wish to synchronize it.

Deletion leads to the loss of history associated with this connection and all modifications made to transactions, which can impact your calculations and tax reports. In some cases, recovering the associated history may prove impossible (for example, if the account is closed). Preferably first:

  • pause the API if the stop is temporary;

  • archive it if the account is closed or permanently unused;

  • consult the troubleshooting guide if the API displays an error.

💡 Good to Know

Waltio connects to your exchange platforms via read-only API keys: we can only read your data, without ever performing transfers or withdrawals. Public and secret keys are encrypted via a KMS (Key Management Services) system to secure your data.
